Organizational Impact Support Specialist

Position Summary:

Will provide data management expertise and coordination for the processes established by the Organizational Impact Team. Will coordinate all training events, office functions and address facility and supplies issues to ensure work flow efficiency. Will ensure that all PCHAS program professionals learn the data management system and receive ongoing support as it relates to inputting appropriate information in a timely manner. Will set up and run reports for data integrity and accuracy.

Core Responsibilities:

    1. Provide/coordinate administrative support to the Organizational Impact team as needed. Specific tasks include answering phones, Texas Notary Public for Legal Documents when necessary, coordinating meetings and events: schedule rooms, purchase supplies and food for events, and record meeting minutes
    2. Provide support to training specialists: prepare training materials, coordinate set up of room, order and organize food and drinks for snacks and meals, collect sign in sheets, etc.
    3. Coordinate and/or manage all office supplies, facilities upkeep, equipment maintenance and work flow efficiencies for the Waxahachie campus
    4. Supervise the work flow of part time assistant
    5. Coordinate with the IT team to ensure that all program staff are proficient at inputting information into the Kaleidacare/CCWIS systems across the entire PCHAS Agency
    6. Create and maintain reports that track data input, data integrity, outputs, outcomes, facility reports to Safety Officer and other information as needed. This data is utilized by the PQI teams so coordinate with Quality Improvement Specialist as needed
    7. Design and format board reports and other special reports generated by the Organizational Impact team (this will require close work with IT data management team)
    8. Maintain agency wide calendar and all facility calendars
    9. Training – Responsible for collecting and inputting all training information into the PCHAS U data management system. Responsible for keeping all the Training Programs and Courses in PCHAS U current and up-to-date. Responsible for maintaining and filing all collected paperwork, including staff training documentation
    10. Participate as needed in special projects like COA renewal (organize the compilation of all information, set up of site visit binders, etc.)
    11. Work closely with the VP of Organizational Impact and the Quality Improvement Specialist to analyze and manage data and all reporting requirements
    12. Performs other duties as assigned.

Working Conditions:

Works a structured, regular workweek as directed. Must be able to work extended hours when necessary, or occasional evenings or weekends in order to meet deadlines. Work environment can be high-pressure, high stress. Ability to work independently with minimal supervision

Job Requirements:

Education and Experience:

Must have a high school diploma with good verbal and writing skills of post high school quality, college degree preferred. At least 2-3 years’ experience working in a position that demonstrates an ability to relate well to people. Must be well organized, self-motivated, and responsible for multiple task time lines

 Miscellaneous:

A valid Texas Driver’s License and reliable vehicle with proof of insurance on that vehicle.   Must maintain a professional appearance
